1. Who we are
Pine 360 is a show companion app for the Advanced Textiles Expo, provided by Infopine Inc. (“Infopine”, “we”, “us”). We decide how and why your personal information is used in the app, so we are its controller.
This policy explains what we collect, why, who we share it with, how long we keep it and the choices you have. If you have a question, write to support@infopine.com.
2. Information we collect
We only collect what the app needs to work and what you choose to give us.
- Account details. Your name, phone number and email address when you sign up, and the date and time you gave consent to be contacted about Pine 360. You can change your name and phone number in Settings.
- Your interests. The topics and products you pick so we can suggest relevant exhibitors.
- Questions you ask. What you type to the Pine 360 assistant and its answers. When the assistant reads your mail or calendar to answer, we do not keep the question text in our logs.
- Scanned business cards. The photo of each card you scan and the contact details read from it (name, company, job title, email, phone) plus any notes you add. These are details about other people, so please only scan cards that were given to you.
- Uploaded catalogues. PDF catalogues you upload so the assistant can answer questions about them.
- Saved items. Exhibitors and sessions you save.
- Microsoft Outlook connection (optional). If you connect Outlook, we receive your Microsoft account email and access tokens that let the app read your mail and calendar. The tokens are encrypted (AES-256) before we store them. Access is read-only: the app never sends, changes or deletes anything in your mailbox or calendar. We read mail and calendar items only when you ask for something that needs them, and we do not keep copies of them.
- Usage events. Which steps you take in the app, such as opening it from a show QR code, installing it, signing up, asking a first question or connecting Outlook. Before you sign up these are linked to a random id kept on your device, not to your name.
- Technical information. Basic device and browser details, IP address and error logs that our hosting providers record to keep the service running and secure, and a sign-in cookie that keeps you signed in.
3. How we use your information
- To create your account, sign you in and keep it secure (including limiting repeated attempts).
- To run the app’s features: answering your questions, finding exhibitors and sessions, reading business cards and catalogues, and, if you connect it, looking things up in your Outlook mail and calendar.
- To contact you about Pine 360 and Infopine’s products and services, which you agreed to at sign-up. Infopine staff can see that you signed up and may add notes from a conversation at our booth.
- To understand how the app is used and improve it, using usage events and questions people ask.
- To send you service emails, such as sign-in codes.
- To meet legal obligations and to protect our users, our service and our rights.
4. Legal bases (EEA and UK visitors)
Where data protection law such as the GDPR or UK GDPR applies, we rely on:
- Contract: to provide the app and the features you ask for.
- Consent: to contact you about Pine 360, and to connect Outlook. You can withdraw consent at any time without affecting what we did before.
- Legitimate interests: to keep the service secure, understand how it is used and improve it, in ways that do not override your rights.
- Legal obligation: where the law requires us to keep or share information.
6. How long we keep it
- We keep your account information for as long as you have an account.
- Delete my account (in Settings) removes your details, interests, saved items, scanned cards and their photos, uploaded catalogues, booth notes about you and your Outlook connection. We do this straight away, and in every case within 24 hours.
- Usage events, including the log of questions asked, are kept after you delete your account but are no longer linked to you, so they are anonymous.
- Disconnecting Outlook (in Settings) deletes your stored Microsoft tokens immediately.
- Short-lived security records, such as sign-in attempt counters, are cleared within a day.
- Backups and logs held by our hosting providers roll over on their normal schedule.
7. Your rights and choices
Depending on where you live, you may have the right to:
- access the personal information we hold about you and get a copy of it;
- correct information that is wrong;
- delete your information;
- object to or restrict how we use it, or ask us to move it to another service;
- withdraw consent at any time;
- not be treated differently for using these rights.
You can do much of this yourself in Settings: edit your details, disconnect Outlook or delete your account. You can also export your scanned contacts. For anything else, write to support@infopine.com. We will reply within 30 days and may need to confirm your identity first. To stop hearing from us about Pine 360, reply to any of our messages or email us.
If you are in the EEA or UK and are unhappy with how we handled your information, you can complain to your local data protection authority.
8. How we protect it
Information travels over encrypted connections (HTTPS). Database access rules mean each person can only see their own data, files are kept in private storage, and Outlook tokens are encrypted at rest. Only authorised Infopine staff can see sign-ups. No system is perfectly secure, so if we learn of a breach that affects you, we will tell you and the authorities as the law requires.
9. International transfers
Infopine and our service providers may process information in the United States and other countries. Where the law requires it, we use safeguards such as the European Commission’s Standard Contractual Clauses.
10. Children
Pine 360 is for trade show visitors and is not meant for anyone under 16. We do not knowingly collect information from children. If you think a child has signed up, email support@infopine.com and we will delete the account.
11. Changes to this policy
We may update this policy as the app changes. We will change the “Last updated” date above, and if a change is significant we will tell you in the app or by email before it takes effect.
